Handwritten bills and a basic calculator work well for a small shop with a few regular customers. As the shop grows, the cracks show up slowly: a longer queue here, a stock mismatch there, a stressful week before every GST filing.
Here are eight signs it is time to move to POS billing software, and what to look for when you choose one.
1. Queues build up at busy times
If customers wait while items are added up by hand, or while someone searches a price list, you are losing sales. People leave queues, and they remember.
With barcode billing, each item takes a second to scan, prices come from the system, and a bill can be put on hold while one customer fetches something they forgot.
2. Your stock never matches what the register says
You count the shelf and find 14 packets when you expected 20. Without a system that reduces stock with every sale and increases it with every purchase, you cannot tell whether the difference is theft, damage, billing mistakes or simply a counting error.
3. You don't know your best and worst sellers
Which items bring in the most profit? Which have not sold in three months? Manual billing makes these questions almost impossible to answer, so slow stock takes up shelf space and cash, while fast sellers run out.
4. You run out of popular items, or overstock slow ones

Two practical questions to ask every vendor
What happens if the internet goes down? Browser-based software needs a connection to its server. If the server is in your shop, billing can continue on the local network during an internet outage. If it is in the cloud, ask what the fallback is.
What hardware do I need? Most shops need a PC or tablet at each counter, a barcode scanner and a receipt printer. Ask the vendor to confirm that your existing hardware will work before you buy anything new.
Making the switch
The move is easier than most shop owners expect:
- Build your item list with barcodes, prices and GST rates. Suppliers' price lists and existing barcodes speed this up.
- Do an opening stock count, ideally on a quieter day.
- Train cashiers for a day or two on the billing screen.
